STUDENT ENROLLMENT DATA

1. The Student's Database Filing System

  • All the student's data are recorded: (name, address, home phone, e-mail, parents' Jobs and the previous school).
  • 2- 3 register copies of the previous data are created with the 3 following seals:
    • The school seal.
    • The Private Education Sector seal.
    • The students' affairs office seal.
  • The 3 registers are kept at:
    • The school.
    • The Private education Sector.
    • The student's affairs office.
  • A collective copy of the student's data, in all stages, is created and sealed with all The seals indicated above and is sent to the General Administration of Examinations,
    Ministry of Education, Cairo.
  • The data is stored in the school computer and 3 softcopies are created on CDs
    Containing all the students' data that are sent to:
    • The school.
    • The Private Education Sector, Eastern Directorate.
    • The Private Education Sector, Ministry of Education, Cairo.
  • All the data are uploaded on the E-government site with the school code. The School has adopted integrated software (the integrated school board software ®). The software facilitates the process of collecting data among the different Agencies of the school in order to complete all the data required about the student And make it accessible. The software integrates the data received from the Financial Administration, and students' affairs office and the rest of agencies as follows:

    At entering the student's name, the entire student's data above-mentioned appear, including the school fees paid, the remaining installments, the days of absence, the student's grades of all tests taken all through the academic year, and the student's Status being submitted to the transportation service or not.
     

2. Essential Information and Assistance Provided to the Student Before Admission

The parent of the student to be transferred to the school is received and is guided Through the following steps:
  • Parent fills in the admission form, and the applicant is given some remedial Classes, free of charge, before appointing a date for an admission test.
  • Applicant is tested in English and Math, and after passing the admission test, an Interview is arranged for the applicant and parent with the principal/Vice principal to present to them the American system and the programs of study which Students are going to deal with and explain to them the graduation requirements.
  • After the interview, they receive a file of the form of documents and certificates Required for filing. This file includes:
    • A computerized birth certificate.
    • 12 recent photos of the applicant.
    • The student's book of health insurance.
    • Form (#1) Electronic-government.
    • The primary stage certificate, sealed with the republic emblem.
    • The preparatory certificate including the advanced level grade, Sealed with the republic emblem.
  • Informing the parent that the documents above-mentioned are obtained only Through filling 4 transformation forms sealed by the previous school and Approved by the Private Education Sector and the students' affairs office at the Eastern Educational Directorate so as not to be subjected to the risk of drawing The required papers while not submitting them afterwards.
  • An enrollment certificate, with all the previous seals, will be sent by the student's Affairs employee for processing.
  • The parent will receive a list of the remittances and stamps that will be required By the previous school for more convenience.
  • Parents and students will be informed about the policies of the school through receiving a copy from the student parent handbook.
  • Parents and students are advised to log on the website of the school to review Different students’ activities.

     

3. Students’ Withdrawal Procedures

The School Board has the authority to make reasonable and necessary rules governing the conduct of students in schools. At the beginning of the academic year all the rules are posted in the classes. Any violations of the following rules of the Code of Conduct will result in withdrawal. (Disruption of School-Harassment -Threats -Use of Obscene Language/Materials-Attendance-Damage of Property-Assault-Failure to Obey Instructions / Insubordination/ Disrespect-Dangerous weapons and instruments.

Withdrawing a student from school is a multi -step process, implemented as follows:

  1. A parent/guardian must be present upon withdrawal.
  2. “Intent to Withdraw Form" must be completed and submitted to the administration's office as early as possible.
  3. Upon receipt of the form, we will inform all teachers and process a Withdrawal Form for the student to pick up.
  4. The student is responsible for cleaning out his/her locker, turning in textbooks and any items belonging to ZAS; getting withdrawal grades from each teacher and clearance signatures from the library and grade level office. He/she returns the completed Withdrawal Form to the registrar's office.
  5. The student is given copies of documents that may be of assistance in enrolling at another school …. report card, withdrawal form, etc.
  6. The new school will contact us, confirming that the student has enrolled. At that time we will send official records they request.
